Paper Preparation Instructions

SUBMISSION OF COMPLETED PAPER FOR PUBLICATION

The conference proceedings are intended to represent those papers that were presented at the meeting.  Papers that were not presented at the meeting, for any reason, will not appear in the conference proceedings.  Papers should be submitted to the ION National Office no later than March 19.  Only papers submitted by March 19 will be considered for presentation, the Walter Fried and best paper awards; and will be available for download from the PLANS web site. 

 

The following are required for submittal:

 

1.      ELECTRONIC IEEE COMPLIANT PDF VERSION OF FINAL PAPER

2.      ORIGINAL IEEE COPYRIGHT RELEASE FORM

 

 

ELECTRONIC IEEE COMPLIANT PDF SPECIFICATIONS

 

IEEE requires that all papers comply with IEEE specifications for document format and compatibility.  Papers are published in PDF format.  Your PDF file MUST be validated by the IEEE PDF eXpress service prior to being submitted to the ION National Office for inclusion in the proceedings.  You may create the PDF and upload it to be analyzed, or you can upload your native document (i.e., Word, LaTEX, etc.) file and the PDF eXpress site will create a compliant PDF automatically.

 

STEP 1:

 

Access the IEEE PDF eXpress site at http://www.pdf-express.org

 

STEP 2:

 

First-Time IEEE PDF eXpress Users:

·         Click “New Users – Click Here”

·         Enter PLANS12X for the Conference ID, your email address and choose a new password.  Continue to enter information as prompted.

·         Check that the contact information is still valid, and click “Submit”

 

Previous users, but using it the first time for the PLANS conference:

·         Enter PLANS12x for the Conference ID, your email address and enter the password you used for your old account.

·         When you click “Login” you’ll receive an error saying you need to set up an account.  Simply click “Continue”. By entering your previously used email address and password combination you will enable your old account for access to this new conference.

·         You will receive online and email confirmation of successful account setup.

 

Returning Users:

·         Enter PLANS12x for the Conference ID, email address and password.

 

STEP 3:

·         For each conference paper click “Create New Title”

·         Enter identifying text for the paper (title is recommended but not required)

·         Click “Submit PDF for Checking” or “Submit Source Files for Conversion”

·         Indicate platform, source file type (if applicable), click Browse and Navigate to file and click “Upload File”. You will receive online and email confirmation of successful upload.

·         You will receive an email with your Checked PDF or IEEE PDF eXpress-converted PDF attached. If you submitted a PDF for checking, the email will show if your file passed or failed.

 

If the PDF submitted failed the PDF check, or if you are not satisfied with the IEEE PDF eXpress-converted PDF, you may submit your source file again for conversion.

 

Once you have completed this process and have successfully been sent an IEEE PDF compliant file, you may submit the IEEE PDF compliant file to the ION National Office at meetings@ion.org (note that the ION National Office does not have access to papers you submit to PDF eXpress for you).   Please note your session in the subject line and make special note if the file being sent is an updated or modified file.

 

IEEE COPYRIGHT RELEASE FORM

 

IEEE policy requires that prior to publication all authors or their employers must transfer to the IEEE in writing any copyright they hold for their individual papers. Transferring copyright is a necessary requirement for publication, except for material in the public domain or which is reprinted with permission from a previously published, copyrighted publication.

 

Upon transferring copyright to IEEE, authors and/or their companies have the right to post their IEEE-copyrighted material on their own servers without permission, provided that the server displays a prominent notice alerting readers to their obligations with respect to copyrighted material and that the posted work includes an IEEE copyright notice.
